Snapdocs offers a few email templates that can be used to include specific information in your emails every time so that you don’t even need to think about it. Think, set it and forget it! Here’s how you can use this tool and be even more efficient!
*Only company team members with Admin permissions are able to access and edit email templates.*
Step 1: Click on Admin in the upper right corner and then on “Company Settings” in the drop down menu.
Step 2: In the left column click on “Templates” under “Email”:
Step 3: Add text to the template fields on the page that opens (optional)
There are 5 templates on this page, here is what each one does:
WHEN SENDING DOCS TO A NOTARY: this template will populate the email that gets sent to the notary when you send the documents for an order.
NOTARY CONFIRMATION TERMS: Text in this field will appear at the bottom of the notary confirmation email in gray.
CLIENT CONFIRMATION TERMS: text in this field will appear at the bottom of the client confirmation email in gray.
CLIENT INVOICE MESSAGE: Any text added here will be included in the invoice email to the client. Participants will also see the text in this field in the email they receive, however they will not actually receive an invoice.
CONSUMER CONFIRMATION MESSAGE: If you have chosen to include the consumer on the order, you can customize the message that they receive in the confirmation email using this template.
There are other places where you can customize “set it and forget it” style messages:
BY CLIENT: When you add a new client, there is a section for special instructions for the notary. Anything in this field will automatically be included in the notary confirmation email on all orders with that client.
BY SIGNING PRODUCT: When you add signing products, there is a section for special instructions. Any text added here will be included in the notary confirmation email automatically any time you use that signing product.
BY CLIENT USER: When you add client users, there is a section for special instructions. Any text added here will be included in the notary confirmation email automatically on orders that Client user is attached to.
