Automatic Linking: Closing to Order

Connected Closings auto-linking will check for matching Closing and Order pairs during closing creation and order creation.

Criteria

It does not matter if the Closing or the Order is created first, once both transactions are created they will automatically link if the following criteria is met:

    • Connected Closings is enabled
    • Primary Borrower First and Last Name match 
      1. The primary borrower must be listed first on the closing and the order. If the second borrower is listed first on either side, the link will not occur. 
  • Order and Closing are both in open states
If the above criteria is met, one additional match is required before the Closing and Order are linked:
  • Primary Borrower Phone Number
  • Primary Borrower Email
  • Property Address
  • File/Loan Number (i.e. if both lender and settlement are using loan/file #)

When an order has a fuzzy or indistinct time

      1. Allow the order to link to a matching closing – on order creation OR closing creation
      2. Interpret and display the fuzzy time based on the following mapping
        1. Morning = 9am
        2. Afternoon = 3pm
        3. Evening = 8pm
        4. ASAP = TBD
        5. TBD = TBD
        6. No time = TBD

Auto-Linking Rules

  • Letters in the signer first name and last name fields must match across the closing and order
    • (e.g. “John” or “Jonathan C.” won’t link to “Jonathan”).
  • Capitalization doesn’t matter (e.g., we will link “McDougal” and “Mcdougal”).
  • Abbreviations do not matter (e.g., we will link “St” and “Street”).

Important Note: There is a way to link the order and closing if they didn’t link upon creation. If information is missed on either the closing or signing that result in the pair to not link, the settlement agent can log into their settlement agent account and click “request a notary.” This will search for a matching pair again. They will need to ensure the criteria are met before the select this button to recheck for matches.
