Snapdocs highly recommends users not share email addresses and passwords when logging in. Having an individual account that you use ensures better security and audit logging as well as makes for a more seamless login experience.
We provide instructions below on how to ensure that your whole team has individual logins to access any closings sent to that shared email account. Additionally, if this is not possible for some reason, we also provide instructions on how to login with a shared email if you must share an account across users.
How to setup individual accounts that can access shared closings
Step 1: Log into Snapdocs using your existing username/password and MFA (multi-factor authentication) method (SMS or Authenticator App).
Step 2: Select My Office from the dropdown menu at the top right hand corner of your screen.
Step 3: Find the Settlement Office(s) whose email matches that shared email address that the users must continue to have access to.
Step 4: Check the users that are currently nested under that Settlement Office. Remove any users that should not have access by selecting the Remove button next to that user. Select the +Add button to add any users that need to have access.
Step 5: Populate that user’s information in the pop-up screen and select Send invite.
Note: That user will receive a welcome email to join that Settlement Office. Upon registering and setting up their login and MFA, they will be able to view all Closings that were sent to that shared email/Settlement Office.
Step 7: Repeat the process for all your Settlement Offices that correspond to a shared inbox that you utilize.
How to login with MFA using a shared account
Step 1: Navigate to your login page for Snapdocs. The specific URL depends on your individual company, it is important to confirm with your Snapdocs Admin that you are using the correct URL.
Step 2: Select the Log In button.
Step 3: Enter your email address and password into the text boxes. Select Log In.
Step 4: You will then be asked to verify your identity by entering in a one-time code sent to the method that you chose when setting up your account. If you are sharing this account only one person can access this on their phone, so you will need to select Try another method.
Step 5: Select Email as the method to verify your identity.
Step 6: An email will be sent to the shared email. Check your email, find the code, and enter in on the screen. Click Continue. You will then be logged in.
