Qualia Integration Functionality

Once the integration is turned on, Snapdocs will attempt to create an order for every order received in Qualia. When the order is created, the first comment in the thread will be a link to the order in Qualia Marketplace

Order Creation 

  • The file # will be set to either the “Customer File #” or “Qualia Order Number” field in Qualia, if that field is filled out
  • If the order is created successfully in Snapdocs, the order will show as “Open” in Qualia. Otherwise, it will say “pending”.
    • For Pro Customers: If the integration fails (no order created), we will receive an email error and work with you (if necessary) to triage 
    • For Flex customers: If the integration fails (no order created), you will receive an email error with an explanation of the error.

Receiving Documents added by customer 

  • All documents added to the “Documents to Print for Signing” section of the Qualia order will automatically be added to Snapdocs

  • All documents added as files attached to a message in the “Inbox” section of the Qualia order will automatically be added to Snapdocs

Populating notary information from Snapdocs to Qualia

  • Once a Notary is assigned in Snapdocs, the notary’s name and contact information will automatically be synced back to Qualia

  • All scanbacks added by the Notary will automatically be synced back to Qualia upon upload

Messaging capabilities 

  • Messages sent in Qualia will automatically sync to Snapdocs
  • Comments created manually by schedulers in Snapdocs with the client as a recipient will be synced to Qualia
  • Note: automated messages (such as “appointment confirmed”) WILL NOT be synced

Price adjustments 

  • Additional client fees added as separate line-items will be added to Qualia at order submission (see below)
  • Note: always add fee adjustments in Snapdocs, Not Qualia –  If you add additional line-items (added fees, discounts) in Qualia, this will prevent the fees added in Snapdocs from syncing over
  • Note: changes to the product type or product price WILL NOT change the base price in Qualia. If that needs to be adjusted, you will have to do it manually in Qualia

Order statuses

The signing status of the order in Snapdocs will update the signing result in Qualia: 

Completed status
Signed Order
Did not sign status 

DNS Order

Canceled order
Note: Orders canceled in Qualia will not automatically be canceled in Snapdocs - please ask clients to message you to notify you of their intent to cancel

Note: Any duplicated order in Snapdocs will not update the original order in Qualia or create a new/duplicated order in Qualia. You will need to have the customer submit a new order in Qualia. 

 

Order submission

  • When an order has Signing Status = Complete AND notary scanbacks have been added, Snapdocs will automatically “submit order” (with all associated info) in Qualia
    • Note: we will always require scanbacks
    • “Finalize Order” is located in the "Fulfillment" tab

  • A revision can still be submitted after the initial submission.
