Snapdocs' Enhanced Automation Suite Settings allow you to find a high quality notary and confirm a signing in one click.
For companies with Enhanced Automation turned on, we provide settings to customize the way Snapdocs Automation will work for you.
Note: Only a company team member with Admin permissions can access and edit these settings.
To edit your Automation settings, click into your General Settings (Admin > Company Settings and then General > Settings):
Autostart Automator
With this setting enabled, the automator will start automatically when an order is created.
For companies using the API or Resware, the automator will start automatically when the orders are sent into Snapdocs unless the box to disable this is checked (located under Autostart Automator).
You can always choose to just create the order without starting the Automator as well! Learn more about that here.
The auto-start setting will also restart the automator when a notary is removed from an order. When the scheduler selects to remove the notary, they will have the option to remove the notary and automatically start the search or simply remove the notary. If they select to remove the notary and start the search, we will immediately start the automator to find a new notary:
There are a few ways to prevent auto-start (this applies when a notary is removed as well):
1. For API/Resware orders, disable auto-start if there are special instructions
2. For all orders, disable auto-start if there are special instructions
3. Disable auto-start on specific products. This option can be found in your product settings under advanced settings, and will only appear if the auto-start feature is turned on. The toggle will default on and can be turned off for a specific product if you don't want the order to begin searching for a notary when the product is selected.
Notary Order Removal
With this setting, notaries have the option to remove themselves from a signing. This increases efficiency as the scheduler no longer needs to respond to a comment that the notary can no longer accommodate the signing nor take action to remove the notary themselves. Once the notary is removed from the signing, we will notify the scheduler and begin searching for a new notary.
Note: This can be toggled on or off in your company settings. Please see screenshot of settings page above.
The notary must select the reason they are not able to accommodate the signing:
The notary will not be able to remove themselves from a signing if the appointment time is less than 2 hours away. They will need to reach out to the scheduler. This cutoff window is not able to be adjusted.
A notification will be sent to the scheduler and the order will reappear in the "needs notary" tab.

Note: The automator will not automatically start if the setting "For ALL orders, disable auto-start if there are special instructions" is turned on.
Notary Auto Assignment
Using this setting, you can decide whether to allow notaries to be auto assigned and set the criteria for that threshold. The "Notary Auto Assignment" box must be checked to enable auto assign and to add any further qualifying parameters.
You can choose to auto assign any favorited notaries and/or all non-favorited notaries that accept a signing. If you’d like to only assign Snapdocs Verified notaries who meet your criteria, you can select that option with either favorited notaries, non-favorited notaries, or both. The Minimum Score you set is the floor of the scores that you have deemed acceptable for notaries to be auto-assigned. For example, based on the information in the screenshot below, if any notary with a score of 4.7 who is Snapdocs Verified, responds as available for a signing, that notary will be auto assigned. If a notary with a score of 4.2 who is not Snapdocs Verified responds as available, however, that notary will not be auto assigned because they do not meet your company's determined criteria.
Please note that we will always auto-assign favorited notaries when the auto-assign setting is turned on, but you do have the option of selecting qualifying parameters for favorited notaries. You also have the option of turning on auto-assign for non-favorited notaries and selecting those parameters.
Auto Accept Qualifying Counter Offers When the Automator Stops
When this setting is turned on, a notary can be auto assigned if they counter offer a fee that is within the range your company has deemed acceptable and they meet your company's auto assign criteria. For example, based on the acceptable increase of $20 in the screenshot above, if you sent out a Refinance signing for $90 in a rural area and no qualified notary accepts the signing for that price, but one offers to do it for $110 ($20 more than $90), we will automatically assign them! But don't worry! We will never assign a notary for a higher fee if a qualified notary responds as available for the original amount.
Auto-send notary and client confirmations after notary is auto-assigned
With this setting enabled, Snapdocs will automatically send confirmations when a notary has been auto-assigned, so you don't have to.
Note: If the Automator is canceled, automatic actions will not be triggered. However, the automatic workflow will continue normally if the Automator is only paused!
