How to Address a Rejected Background Check

The main reason background check reports are rejected is because they are either missing a required section or the uploaded document is not a full background check report.

If your background check report was rejected by the verification system, locate the rejection reason you received (or the closest approximation to it) below to find out how you can resolve the issue.

Common Rejection Reasons

The uploaded document is not a background check report

Explanation: A background check report should contain the following required sections:

  • SSN trace

  • County criminal search

  • Federal criminal search

  • Nationwide criminal search

  • Sex offender search

  • Motor vehicle report (optional)

  • Patriot Act search (optional)

How to solve it: Please upload your full background check report with the required sections. You may have just submitted the wrong document when uploading your background check report, make sure you are uploading the correct document.

The uploaded document is an NNA certificate

Explanation: Although the NNA is a valid background check source, we only accept the full background check reports (not just the certificate). Companies often require more in-depth information than the certificate provides, and uploading the full report to your profile makes the signing process smoother for both you and the companies on our platform.

How to solve it: Please upload your full background check report, which includes a SSN trace, county criminal search, federal and nationwide criminal search, and sex offender search.

One or more sections of this background check are missing

Explanation: To verify a background check report, our system checks for a couple of required sections:

  • SSN trace

  • County criminal search

  • Federal criminal search

  • Nationwide criminal search

  • Sex offender search

  • Motor vehicle report (optional)

  • Patriot Act search (optional)

Note: If one or more of the required sections cannot be found, we are unable to verify the background check report.

How to solve it: Please check your background check report to make sure that it contains all of the required sections. If it does, it's likely that the uploaded document was just missing a page - just re-upload your full background check report and make sure all the pages are uploaded. If your background check report does not contain all the required sections, you may want to see if it's possible to obtain an updated report with the sections you're missing. If your background check provider cannot run all the required searches, you may need to obtain a new background check report from a different company. We don't have a preference as to which company you use, please review this article for additional information.

SSN trace does not list location history. Please contact the background check company

Explanation: In order to verify the SSN trace, our system looks for a history of locations associated with your SSN as part of the SSN trace. If your SSN trace only validates your SSN, but does not also provide a location history, we are unable to verify it at this time.

How to solve it: In most cases, the background check company just has to do a little more work in order to turn up a list of locations associated with your SSN. Please reach out to the company that you had your background check done with. If you got your background check done with the NNA, please contact Backgrounds Online (the provider for NNA background checks).

The background check contains negative records 

Explanation: The verification process looks for negative records on your credentials. If there is a negative record, we will be unable to verify your background check report. 

The name on this document doesn't match  

Explanation: The verification system looks for a match between the name on your Snapdocs profile and the name on your credentials. If there's not a likely match, we're unable to verify your background check report.

How to solve it: We recommend using the name on your documents as the name on your Snapdocs profile in order to ensure that your documents can be easily verified by our system. You can change the name on your Snapdocs profile by logging in and navigating to "My Profile" or by using the following link https://app.snapdocs.com/profile/edit. Once you've updated the name on your profile to match the name on your documents, just re-upload your documents so our system can take another look.

Incomplete document. Please upload the full background check report

Explanation: Your background check report was uploaded, but the entire report wasn't uploaded. There may be pages or sections of your report missing or cut off. Please make sure to upload the entire report, we cannot accept each page separately. Our system is unable to process a document if the pages have been submitted separately. Another common situation is that only a summary of the report was submitted. A summary isn't sufficient, as it doesn't contain in-depth information for each search, the scope of each search, and the results.

How to solve it: Please check that you have all the pages of your background check report and that nothing is cut off in the image or file. Then, re-upload your entire background check report. If your background check is spread across multiple files, please follow our uploading instructions here so our system can automatically merge your files into one upon uploading.

Illegible document. Please upload a clearer copy

Explanation: The uploaded document could not be clearly read by our system, so it could not be successfully verified.

How to solve it: Please take another picture or scan of your background check. Ensure that the information on the document (your name, required sections, expiration date, etc.) can be clearly read. Please also make sure that the background check is visible and nothing is cut off. Then, re-upload the document to have it verified.

Document could not be opened. Please upload a PDF, JPG/JPEG, or PNG file

Explanation:To view and verify your background check, our system must be able to open and access the uploaded file. Any other file formats, besides a PDF, JPG/JPEG, or PNG file, cannot be opened by our system and therefore, cannot be verified. File formats that we cannot verify include:

  • Microsoft Word documents

  • ZIP files

  • TIFF/TIF files

How to solve it: Please convert your file into either a PDF, JPG/JPEG, or PNG file and then upload it to have it verified. If you're unsure how to convert your current file, we suggest re-scanning your background check or taking a picture of the document either using a camera or phone.
